Two shops can quote the same drawing and come back with numbers that are thousands of dollars apart. Surprisingly, the lower number is not always the cheaper job. The difference usually hides in the line items that never made it onto the quote at all: setup charges, material markups, inspection paperwork, finishing, packaging, and freight. A machining quote is built from what the estimator can see in your CAD file and drawing. Everything else — how the part gets programmed, fixtured, inspected, finished, packed, and delivered — depends on decisions made after the quote is issued. Shops that want to win the job on price have an incentive to leave those items vague or exclude them entirely, then invoice them later as “additional services.”
None of these charges are illegitimate. Programming a complex 5-axis part genuinely takes hours, and a certified material test report genuinely costs money to produce. The problem is not that the costs exist; it is that they surface after you have committed budget. The fix is to know exactly what to ask about before you sign off.
CAM programming and workholding are real labor, and on low-volume orders they can rival the machine time itself. Many shops roll setup into the unit price on production runs but break it out — or quietly add it — on prototypes and small batches.
What to ask: “Is setup and programming included in the unit price, and does that hold for my order quantity?”
Shops buy stock at wholesale and sell it to you at a markup — that is standard practice. What is not standard is the size of the markup or whether it is disclosed. Each additional process adds cost and lead time: anodizing, electroplating, powder coating, blackening, passivation, heat treatment, and polishing are all typically quoted separately. Some shops quote the geometry at a standard tolerance and add a surcharge later when the tight callouts register. Others do the opposite and silently downgrade — shipping a part that misses the drawing.
What to ask: “Has the estimator reviewed every tolerance callout, and are any features priced as secondary operations?” A capable shop will flag which features drive cost and may suggest where a looser tolerance saves real money without hurting function.
Many shops apply a minimum order value. On a one-off prototype, the minimum — not the machining time — sets your price. This is rarely hidden exactly, but it is often revealed only after you have spent engineering time on the RFQ. Related traps include per-part prices that quietly assume a quantity break you did not specify, and “expedited prototype” pricing applied by default.
What to ask: “What is the minimum order charge, and at what quantity does the unit price actually change?”
A standard quote assumes the shop can slot your job into normal scheduling. Ask for delivery in half the standard lead time and overtime, weekend shifts, and priority scheduling all become billable. The premium is legitimate; the surprise is not. If your timeline is firm, state it in the RFQ so the rush cost is priced in rather than invoiced later.
Incomplete files cost money. If your STEP file and drawing disagree, if tolerances are missing, or if threads and finishes are unspecified, the shop must either guess or stop and ask. Some shops bill that clarification loop as engineering time; others quote conservatively high to cover the uncertainty.
